What Is Included

The whole payroll cycle, not just the paycheck

A pay run is only one part of payroll. The deposits, the filings, the forms and the year-end reconciliation all have to line up, and that is the part we take off your desk.

Pay calculation and processing

Salaries, hourly wages, overtime, bonuses and commissions calculated each period and processed on your schedule.

Direct deposit

Payment set up and managed for every employee, with pay stubs available from the start.

Payroll tax withholding and filing

Federal, state and local withholding calculated, remitted and reported on the required deposit schedule.

W-2 and 1099 preparation

Year-end forms prepared and filed, with copies for your team and your records.

Garnishments and levies

Wage garnishments, support orders and tax levies applied correctly and remitted to the issuing agency.

New-hire reporting

New employees reported on time so your state records stay current.

Year-end reporting

Wage and tax totals reconciled to your filings so the numbers agree before the year closes.

Books that already match

If we keep your books too, payroll flows into your financials without a second round of entry.

How It Works

From setup to year-end in four steps

01

Set up your payroll

We collect your employee details, pay rates, pay schedule and prior filings, then register and configure your accounts.

02

Approve each run

Hours, bonuses and changes come to us, we calculate the run and send it to you for approval before anyone is paid.

03

We pay and file

Once payroll is approved and funded, employees are paid on schedule, and the withholding is deposited and reported on the dates that apply to you.

04

Close out the year

We reconcile the year, prepare W-2s and 1099s, and file them so your team has their forms on time.

Compliance

The deadlines are not flexible

Payroll tax deposits and returns run on their own calendar, separate from your income tax filings. A missed deposit can trigger penalties and interest that add up quickly, which is why we track the schedule for you.

Worker classification and trust fund questions are part of the same picture. If we run your payroll, we can show the deposits, filings and treatment behind each worker.

If a payroll tax notice or an employment tax audit does arrive, representation is handled by the same team.

Payroll tax notices and audits
Each pay period
Withholding calculated, wages paid and pay stubs issued on your schedule — weekly, biweekly, semimonthly or monthly.
Quarterly
Form 941 (or Form 944, if the IRS has assigned it) filed and the quarter reconciled, with state unemployment filings made as each state requires.
Annually
Form 940 filed, and W-2s and 1099s prepared and issued to your team and contractors.

Questions

What owners ask before switching payroll

Payroll rules depend on your state, your entity and your headcount. We confirm the specifics for your business before you start. Timely runs depend on approved, funded payroll and changes reaching us on schedule.

How much does payroll service cost?
Fees are quoted up front based on your employee count, pay frequency and the states you pay in. You approve the fee before we start, and it typically stays consistent unless your headcount, pay frequency or states change.
Can you take over payroll mid-year?
Generally yes. We review your prior filings, deposit history and employee setup, then continue from where you are. We will need year-to-date payroll totals from your prior provider to produce accurate W-2s. Mid-year transitions are common and we handle the catch-up questions that come with them.
Do you handle contractors as well as employees?
Yes. We prepare and file 1099s for contractors alongside W-2s for employees. Classification depends on the facts of each relationship, so we can review how each worker is currently classified and discuss the factors involved.
What happens if a payroll tax deposit is missed?
If a deposit is missed, we notify you promptly, calculate the exposure and, with the proper authorization on file, respond to any notice that follows. If the IRS assesses a penalty, we can review whether abatement applies and request it on your behalf.
Do I still have to approve payroll each period?
You approve the run before anyone is paid. If your pay is salaried and unchanged, approval is quick; hourly and commission runs get a closer look.
Can you run payroll for multiple locations or franchise units?
Yes. Multi-location and multi-state payroll is standard for us, with consistent processing across every unit and withholding rules applied based on where employees live and work, since reciprocity and residency rules vary from state to state.
